Just like IT peripherals, each physical asset can receive its own QR-code label, which you can generate and print on demand. This enables fast, secure documentation of check-outs and returns directly via a Smartphone – no extra app needed.
Each transfer is confirmed by the recipient’s digital signature on a smarthone or tablet, and a lifecycle entry is automatically created and permanently linked to both the asset and the user. This ensures full transparency over when, where, and by whom each item is held, helping you to eliminate potential inventory shrinkage.

Step 1: Create an Asset in the LOGINventory EAM Software
The foundation for managing and tracking all company assets is the structured recording within LOGINventory. New assets – whether vehicles, furniture, machinery, keys, or contracts – can be created directly in the Asset Editor, imported from CSV files, or automatically captured via available interfaces. You can document all relevant Information – such as location, responsible party, purchase price, serial number, or status – including any custom-defined additional fields.
Step 2: Generate a Unique Inventory Number
Each asset is automatically assigned a unique inventory number that serves as its digital identifier for asset tracking. This number can either be entered manually or generated by the system. It also underpins the creation of a unique link to the asset – such as for subsequent check-out or return via QR code.
Step 3: Create and Print QR Code Labels
LOGINventory generates printable labels with QR codes for each physical asset at the click of a button. You can customize these labels in various Layouts – including your company logo, text blocks, or any bespoke information. This visual tagging makes management especially efficient and simplifies on-site digital asset assignment.
Step 4: Document Hand Outs & Returns via Smartphone
By scanning the QR code, any asset can be handed out or returned with a single click – directly in a smartphone or tablet browser, no additional app required. During this process:
- The responsible user is selected
- An optional note is recorded
- The transfer is confirmed by digital signature
Our EAM software then automatically creates a lifecycle entry that records all transfer details and links them to both the user and the asset. Upon return, the association is removed and the asset is marked as available. Since version 9.6, additional features are available: photos can be attached, properties can be edited, and multiple assets can be handed out or returned simultaneously.
Step 5: Transparent Asset Tracking in the EAM System
Through the LOGINventory web interface, authorized personnel gain access to all assigned assets and their complete lifecycle history. Even employees without a LOGINventory account can, via self-service, see which assets are currently assigned to them and when they checked items out.
