Many companies already manage far more than just IT Equipment – but until now, LOGINventory was limited to exactly that. With version 2025.1, we’re opening the system to a wide range of additional use cases: from office chairs and key cards to tools: You can now record, track, and manage every item digitally, in a structured and auditable manner.

Item Management

With version 2025.1, LOGINventory extends its functionality: From now on, you can manage not only IT assets, but also general items – and fully document check-outs and returns, just as many of our customers have requested. In doing so, LOGINventory now fulfills the role of a full Enterprise Asset Management solution.

All of the options previously available for peripheral devices are now available for the new “Item” add-on asset type: items can be created manually, imported from CSV files, or generated via the REST API. Because the data model is freely extensible through the “Custom Properties” widget, any attributes can be defined. Items can be assigned to users, QR-code labels can be generated, transfers can be digitally documented, and items can be analyzed in queries, dashboards, reports, and dynamic documents. Of course, lifecycle entries and attachments can also be stored against items in LOGINventory.

Adding items

New items – whether vehicles, furniture, machinery, keys, or plants – can be created directly in the Asset Editor, imported from CSV files, or automated via the REST API. You can capture all relevant Details – such as name, type, manufacturer, model, dimensions, or serial number – including any custom-defined fields like purchase price, color, weight, lease duration, or any other attribute your item may require.

Tip: Assign a value to “CustomType” that corresponds to an icon in the Resource Repository (or upload your own icons). The matching symbol will then be displayed throughout LOGINventory (for example, in the Info Widget or the Web Viewer).

Inventory Number Generation

Each asset is automatically assigned a unique inventory number that serves as its digital identifier for asset tracking. When the corresponding checkbox is selected, the inventory number is generated automatically, and you can freely customize the naming pattern to suit your requirements. This inventory number also underpins the creation of a unique link to the asset – ideal for facilitating check-outs or returns via QR code.

QR Code Label Generation

If desired, LOGINventory can generate printable QR code labels for each physical item at the click of a button. These labels can be customized in various Layouts – including your company logo, text snippets, or any bespoke details. Since it’s not always practical to affix a label to every item, the QR code is optional for documenting transfers via smartphone. You can also locate items in the web interface using criteria such as name or serial number.

Document Hand Out & Return via Smartphone

By scanning the QR code, users are taken straight to the asset detail page in the LOGINventory web interface. There, any asset can be checked out or returned with a single tap – right in a smartphone or tablet browser, no extra app required. During the process:

  • The responsible user is selected
  • An optional note is added
  • The transfer is confirmed with a digital signature

This generates a precise lifecycle entry, so you always know exactly who received which asset and when. You also have access to additional functions on the same screen: attach photos, edit properties, or process multiple assets at once for check-out or return.

Transparent Tracking

Through the LOGINventory web interface, authorized users gain access to all assigned assets and their full lifecycle history. Even employees without a LOGINventory account can, via self-service, view which assets are currently assigned to them and when they checked items out. This ensures complete transparency – no more Excel spreadsheets or manual handover records needed.

Insights via Queries, Dashboards, Documents & More

Thanks to the fully customizable reporting framework, items can be leveraged throughout LOGINventory. All your items appear in the Item table; if you want to build a query that encompasses scanned assets, peripheral devices, and general items alike, simply use the HardwareAsset table. Whether you’re working with queries, dashboards, reports, or dynamic documents, the possibilities for insight are virtually limitless.

Licensing

Items require an Add-on Asset license – just like peripheral devices – which makes them significantly more cost-effective than traditional, automatically discovered assets. Unlike those assets, items generally must be created manually or imported, since they don’t provide an interface (such as a Windows API) for automated data collection.

With a single Add-on Asset license, you can now manage both peripheral devices and general items. If you already hold an Add-on Asset license with available seats, you can start creating items immediately after updating to version 2025.1.
